Who operates this service
CallWave Studio LLC operates the CallWave website and AI phone-agent service. Our sample mailing address is 120 Channel Way, Example City, EX 10000. In this policy, “CallWave,” “we” and “our” refer to this fictional company; “you” refers to website visitors, customers and callers who interact with a CallWave agent.
Information collected
We collect the information you provide when you request a demo, create an account or contact our team, such as your name, work email, company and message. When a business uses CallWave, its agent may process caller details, appointment requests, call recordings, transcripts and summaries according to that business’s setup. We also receive basic technical information, including browser type, device information, IP address and how you use our website.
How information is used
We use this information to respond to enquiries, provide and maintain the service, help customers configure their agents and support everyday call workflows. Call information helps an agent answer questions, request appointments and hand conversations to the right person. Technical information helps us understand performance, diagnose problems and protect accounts. We do not use customer call content to train general-purpose AI models in this sample service.
Service providers and sharing
We share information with service providers that support hosting, communications, transcription, payment processing and customer support. They receive the information needed to perform their role for CallWave. A caller’s information may also be shared with the business they called and the tools that business chooses to connect. We do not sell personal information, and we may disclose information when required by applicable law or to protect the service and its users.
Cookies and similar technology
Our website uses essential cookies to remember preferences and support basic features such as account access. Optional analytics help us understand which pages are useful and where the experience needs improvement. Where a choice is offered, you can accept or decline optional cookies and change that choice later. Your browser settings may also let you block or remove cookies, although some features may then work differently.
Retention and security
We keep enquiry and account information for as long as it is needed to respond to you, provide the service or meet record-keeping obligations. In this sample setup, call recordings and transcripts are retained for 90 days unless the customer selects a different period. We use access controls, encryption and operational safeguards to protect information, but no system can guarantee complete security. Information is deleted or anonymised when it is no longer needed, subject to appropriate backup and legal requirements.
Choices and requests
You can update account information, choose whether to receive marketing messages and contact us about access, correction or deletion of your information. To make a privacy request, write to privacy@callwave.example; we may ask for information to verify the request. If you are a caller, the business you called may be responsible for your call information, and we can help direct your request to it. Available rights and how we handle a request depend on your location and the circumstances.
